Privacy Policy

This policy explains how Performance Nutrition London collects, uses and protects your personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What data we collect and why
We collect personal data through two routes:
Discovery call booking (Calendly)
- Name and email address — to confirm and manage your booking
Client food diary intake form
When you complete the 7-day food diary as part of your programme, we collect:
- Personal details: full name, email address, phone number
- Physical information: date of birth, sex, height, weight, target weight
- Lifestyle information: diet type, activity level, training habits
- Health information: dietary goals, food allergies and intolerances, health notes (e.g. medication, sleep, stress)
- A 7-day food diary: detailed records of meals, sleep and energy levels
- Optional photos of meals
Please note: food diary and health data is classified as special category data under UK GDPR (Article 9). We only process this data with your explicit consent, which you provide by ticking the consent box when submitting your diary.
3. Legal basis for processing
- Health and dietary data: your explicit consent (UK GDPR Article 6(1)(a) and Article 9(2)(a))
- Booking and contact data: performance of a contract / legitimate interest in managing your appointment
You may withdraw your consent at any time by emailing katrin@performancenutritionlondon.co.uk. Withdrawal does not affect the lawfulness of processing before that point.
4. How we use your data
- To generate a personalised nutritional analysis report from your food diary
- To prepare coaching recommendations tailored to your goals
- To communicate with you about your programme and progress
- To send you your report and any supporting materials by email
We do not use your data for marketing without separate consent, and we do not sell or share your data with any third party for their own purposes.
5. Third-party services we use
To operate our services, we share data with the following processors, all of whom are bound by data processing agreements:
- Resend (email delivery) — your name and email address are transmitted to send you confirmation and report emails. Resend is GDPR-compliant and processes data on EU/UK infrastructure. Resend privacy policy →
- Anthropic (AI analysis) — your food diary text is sent to Anthropic's Claude API to classify foods and generate your qualitative report. Data is processed in accordance with Anthropic's API data usage policy, which prohibits training on API-submitted data. Anthropic privacy policy →
- Calendly (discovery call booking) — your name and email are shared with Calendly to manage call scheduling. Calendly privacy policy →
- Netlify (website hosting) — the website is hosted on Netlify. Netlify may collect standard server logs (IP address, browser type) as part of normal web hosting. Netlify privacy policy →
6. How long we keep your data
- Food diary and report data: retained for the duration of your coaching programme and for up to 2 years afterwards, to allow for follow-up support and programme review
- Booking data: retained for 12 months after your last contact
- Data is deleted securely on request at any time (see Your Rights below)
7. Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct inaccurate or incomplete data
- Erasure — ask us to delete your data ("right to be forgotten")
- Restriction — ask us to pause processing your data
- Portability — receive your data in a portable format
- Withdraw consent — for any processing based on consent, at any time
- Object — to processing based on legitimate interests

8. Cookies
The main website does not use tracking cookies. The Calendly booking widget embedded on the site may set cookies in your browser — please refer to Calendly's privacy policy for details.
9. Complaints
If you have a concern about how we handle your data that we are unable to resolve, you have the right to lodge a complaint with the UK Information Commissioner's Office (ICO):
10. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last revised. Continued use of our services after an update constitutes acceptance of the revised policy.
